What this template is
A professional quotation in Excel for pricing work before you invoice it. It mirrors the layout of our invoice template — same itemised table, automatic subtotal, 9% GST and total — so an accepted quote converts to an invoice without retyping.
It includes a quote number, a validity period ("valid for 30 days"), and an acceptance block where the customer signs and dates — turning your quote into a written record of what was agreed.
How to use it
- Replace the [bracketed placeholders] with your company details, UEN and GST registration number (delete the GST line if you are not registered).
- Number the quote (QUO-0001 …) and set the quote date — the validity note gives the customer 30 days by default; adjust to your terms.
- Itemise the work with quantities and unit prices. Describe deliverables specifically — vague quotes cause scope disputes.
- Send it as a PDF, and when the customer signs the acceptance block, keep the signed copy with the eventual invoice.

- GST-registered businesses should quote prices with GST shown separately at 9% so customers see the full payable amount up front.
- The template shows prices in SGD with the S$ symbol; quotes are not tax documents, but consistency with the eventual tax invoice avoids disputes.
- A signed quotation plus your standard terms is often the only "contract" an SME job has — file it with the invoice for the 5-year record-keeping period.
Frequently asked questions
Is a quotation legally binding in Singapore?
A quotation is an offer. Once the customer accepts it (for example by signing the acceptance block), a contract generally forms on those terms. Always state a validity period so old pricing lapses automatically.
Should my quote include GST?
If you are GST-registered, yes — show GST at 9% as a separate line so the customer sees the total payable. Displaying GST-exclusive prices without saying so is not allowed for consumer-facing prices in Singapore.
What’s the difference between a quote and an estimate?
A quote is a fixed price for defined work; an estimate is an educated guess that may change. Use this template for firm pricing, and label it clearly as an estimate if the price is indicative only.
