What this template is

A simple payment receipt in Excel: who paid, what for, how they paid (PayNow, bank transfer or cash), and the GST portion shown separately at 9%. Issue it whenever a customer pays on the spot or asks for proof of payment.

Totals calculate automatically, and a reference line records the PayNow transaction ID so the receipt ties back to your bank statement at reconciliation time.

How to use it

  1. Fill in your company block — name, UEN, GST registration number if registered.
  2. Number receipts sequentially (RCP-0001 …) and date them on the day payment is received.
  3. Record what the payment covers, the payment method, and the PayNow or bank reference.
  4. Give the customer the PDF and keep the Excel copy — receipts are business records IRAS expects you to retain for 5 years.

Frequently asked questions

When should I issue a receipt instead of an invoice?

Issue an invoice to request payment, and a receipt to acknowledge payment received. For immediate payments (retail, deposits, PayNow on the spot) a receipt alone is fine; for credit terms, invoice first and receipt on payment if the customer asks.

Is a receipt enough for my customer to claim GST input tax?

For purchases over S$1,000 a customer needs a tax invoice to claim input tax; a simplified tax invoice (which a detailed receipt can satisfy) is acceptable up to S$1,000 provided it shows your GST registration number and the GST amount.

Do I need to issue receipts for PayNow payments?

There is no law requiring one, but customers often need proof of payment for their own records, and the receipt’s reference line ties the PayNow transaction to the sale — which helps both sides at reconciliation and audit time.
